Terms and Conditions

Terms & Conditions

  1. Booking & Confirmation
  • Submitting a booking request is not a confirmed reservation.
  • The Backdrop Room reviews booking requests manually and, if available, sends an approval email with the final price and deposit due.
  • To finalize the booking, the security deposit must be paid (via Revolut or Bank Transfer) within 3 days of the approval email.
  • If the deposit isn’t received within that window, the booking is automatically cancelled and the dates are released.
  1. Rental Period
  • Rental periods available: 3, 5 or 7 days, chosen at booking.
  • The rental period runs from the agreed pick-up/delivery date to the agreed return date.
  1. Pricing & Payment
  • Prices are as listed on the website at the time of booking, including any applicable multi-item discount.
  • Payment method for the rental fee (Cash, Revolut, or Bank Transfer) is selected at booking.
  • The security deposit is due in advance, at the time of booking confirmation, via Revolut or Bank Transfer only (cash isn’t possible here, since it must be paid before pick-up/delivery) — see Section 4.
  • The rental fee balance is due at pick-up or delivery, via the payment method chosen at booking.
  • For bank transfers that are not instant, items will not be handed over until payment has been confirmed as received.
  1. Security Deposit
  • A refundable security deposit of 40% of the total order value (minimum €15) is required to confirm the booking, paid within 3 days of the approval email via Revolut or Bank Transfer (see Section 1).
  • The deposit is refunded after the rented items are returned and inspected, minus any deductions for damage, missing items, or late return (see sections 6 and 7).
  • Deposits are refunded within 3 business days of the item being returned/collected.
  1. Pick-up & Delivery
  • Pick-up is available on specific dates/times only, as communicated at booking.
  • Delivery is available on request across Malta (excluding Gozo), on specific dates/times only, based on availability. To request it, select pick-up at checkout and write “Delivery” (plus your address, if different from your billing address) in the order note. Delivery costs €10, and is free for orders of €100 or more. We confirm delivery in our approval email.
  • The customer is responsible for having the items ready for collection (return) at the agreed date, time, and location.
  1. Cancellations & Changes
  • Cancellations or date changes requested at least 3 days before the pick-up/delivery date: free of charge, full refund of any amount paid.
  • Cancellations requested within 3 days of the pick-up/delivery date: the security deposit is not refunded in cash, but the customer receives a voucher of equivalent value, valid for a future booking (valid for 6 months).
  • No-shows (items not collected/received and no cancellation made): the security deposit (already paid to confirm the booking) is forfeited — no voucher issued.
  1. Damage, Loss & Late Returns
  • Items must be returned in the same condition they were provided, normal wear excepted.
  • Minor damage (light stains, minor wear that can be cleaned/repaired): a cleaning/repair fee will be deducted from the deposit:
    • Flowers/small pieces: €5
    • Backdrop covers / pedestals: €8
    • Arches: €15
  • Major damage or loss (item broken beyond repair, or not returned): the replacement cost of the item will be deducted from the deposit. If the replacement cost exceeds the deposit amount, the customer agrees to pay the difference.
  • Late returns: a grace period of a few hours is allowed; after that, a late fee of 20% of the total rental fee per day applies, deducted from the deposit (capped at the deposit amount — no additional charge beyond that).
  1. DIY vs. Set-Up Help
  • All rentals are DIY (self-assembly and disassembly) unless “I’ll need help with this” is selected and agreed to at booking.
  • Requests for set-up help are subject to availability and are not guaranteed.
  1. Liability
  • The Backdrop Room is not responsible for any injury, accident, or damage occurring during the customer’s assembly, use, or disassembly of the rented items.
  • Customers are responsible for using the items safely and as intended — including ensuring items (e.g. arches) are stable and secured before leaving them unattended.
  1. Acceptance
  • By submitting a booking, the customer confirms they have read, understood, and agree to these Terms & Conditions.
